    Scout Management System (SMS)

    Expected release date: early/mid October

    I'm a little behind schedule with getting this together so no promises on exact release date.

    This will replace all 3 of the Beavers, Cubs and Scouts spreadsheets currently available. Unfortunately this means starting over again for existing users.

    Description
    A set of Excel spreadsheets interlinked to create as close to a database as Excel will allow.
    Can be used by individual sections or one group administrator.

    How it works
    Each user(Section Leader) will have their own SMS.
    Create members in exactly the same way as the old spreadsheets do.
    Each member will now have an individual file rather than a sheet.
    These files can be emailed to other Leaders to import into their "database".

    Features
    Seperate files for every member containing all personal info and badge awards for all sections. Hugely expanded from current but still printable.
    Full badge requirement tracker
    Improved/easier to use badge summary page
    Automatically updates badge awards on individual members records
    Update funtion for nights away/hikes away/activities & visits to record info on members files
    Payments tracker
    Register
    Forms tracker
    Seperate file for waiting list
    CSV formatted files for Leaders, YP and parents
    Contacts summary/age tracker

    There is still quite a bit of work to do on this and then will need to do some testing so please be patient.
    All the above features are either completed or have been sufficiently tested to know they will work when they are complete.

    That sounds brilliant, thank you as always for making life easier as I know our SL and CSL in particular appreciate your efforts and giving up so much time for this type of thing

    One has asked if it will work with Windows 7, so when you can we'd be grateful for an answer - just so they know.

    Wow! That sounds truly fantastic Nigel, and you will deserve a medal for all that hard work.

    Am I imagining it, or will the individual file for each member resolve some of the "Cut & Paste" issues with the current sheet? Will it also make it easier to upgrade to new versions?

    I'm using Windows 7 and Excel 2010. As ever it won't work on open office or a mac but should work fine with earlier versions if Excel.

    This should resolve all the cut and paste issues from the last version however in terms of future proofing yes and no: I'm looking at ways of doing this but to be honest a major change in the badge scheme could be very difficult to work round. I'm open to suggeations..........

    The next version of Office for the MAc is due out soon and appears to have support for Macros again but only if you have an Intel powered Mac. Time to start saving up.

    pah! this is MS... it will almost work and then do something horrendous...

    I have seen so many horrific things done to data stored in excel...

    I once saw a brand new magazine launced... thousands of subscribers...

    the publisher had the database and he deleted one person. But he did it in the excel printout that goes the the printers for mailing. He didn't delete one person.. he deleted on cell... and 3/4 of the cells shifted up... and the data become worthless...

    the magazine folded v soon after.

    That is one of many reasons why i am so against storing data in excel. There is also that uncanny ability for it to process and work on data that you enter when all you want is for it to hold the data.

    I use a mac and i use office but i store my data in filemaker pro...

    It is time for HQ to provide a solid, stable and open source piece of software to manage our data in... not a spreadsheet! a proper database programme.

    I have uploaded an incomplete version of the project to the usual location:

    Please bear in mind that it is a good bit off finished but I would like a few people to evaluate what I have so far and offer some feedback/suggestions before I get to a point where I think it is finished!

    If you would like to help in testing this project please email me for the password.

    The Cub section of the project is (I think) finished but please don't start using it for real just yet. The Beaver section just needs a couple of macros adding and the Scout section needs the same macros plus quite a bit of work on a couple of pages and the member's file.

    If you wish to test it, run it as a Cub Leader. The other sections will work in exactly the same way when complete....
    Any volunteers?
