    What should the UKSA do with youth data?

    Now that Compass is expected to return in January 2016 but only for access to adult data the question needs to be asked:

    What should the UKSA do with the uploaded/entered youth data?

    The data should be destroyed as it is no longer in any way accurate or relevent!

    It would be easier to do a full new import of data than to try to update what is there.

    It is not the mountain we conquer but ourselves

    I think there needs to be an option to start again with the youth data - a lot changes in a year and trying to manually sync up a troop's worth of data is not something I would enjoy.

    Remember, Groups are supposed to be a Data Controller for the data, so it isn't solely TSA's data to delete.

    Since I uploaded my Youth data quite a lot of things have happened:

    A few have left altogether.
    More than half have gone to Cubs
    We have started a second Colony and some have moved in both directions.
    Loads of new ones have joined almost doubling the number of Beavers
    A few have moved house or had other data changes.

    I can't imagine going through the old data and trying to sort that lot out with the rubbish slow interface we had to work with. We just have to start again.

    At the moment, I keep all my records on an Excel spreadsheet. It is really quick and easy to use, contains all the information I need, produces mailing lists and any reports I could possibly need at the touch of a button or two. Also, it is really easy to pass on data to Cubs when they go up. I can't imagine any circumstance under which I would want to give up this ease and simplicity for anything less good. What I saw of Compass was simply light years away from being as easy to set up and use. I will need a lot of convincing before I try it again. Others in our Group feel the same way about it. We would be glad if it never returns.

    Looking back on it now, it seems to me that the data we entered was all about parents rather than young people. On my spreadsheet, I don't record much information about parents (other than their names). It just seems to me that we were entering loads of data about the wrong people. We are a youth movement aren't we?

    I hope those people testing it know what they are doing.

    Surely under the data protection act the data held is now illegal since it is not accurate ?

    It should be destroyed now. It is out of date and possibly non-compliant with data protection legislation

    It's all one huge mess - especially as some of the Explorer data is (presumably) interlinked with the new central registration for the top awards.

    And parent records are meshed in with adult appointment holders and OHs.

    Who trusts TSA to delete the youth data without causing yet more unforeseen problems? Not me.

    Having had my provisional appointment disappear into the ether when I uploaded my son's details with me as parent (my parent role over rode the provisional appointment) I can see this point in rather frightening clarity.

    They should delete both the youth and parent data. They should only hold data on adults in scouting and give a lot more thought to how this can be integrated with youth data in the future, bearing in mind that these adults have different roles to different young people (including parent). I also need to be sure that I can control data held on me - there was certainly data held in Compass about me which was wrong and I had no way to change it and no easy way to find out who could. One of the things which frustrated me most about Compass was that I could search for just about anybody apart from other adults in my own section.

    I didn't lose my appointment but my contact details certainly got messed up when my son's ESU uploaded his info.

    Oh. Lots of fun with that argument and TSA. However, if your data is out of date - as it probably will be on Compass, it needs deleting or updating.

    In addition, of course, TSA is also the Data Controller and says as much on the Young Person Information Form (Version 3 December 2014) , which says: "As a registered Data Controller, The Scout Association is committed to the Data Principles of the Data Protection Act 1998."

    Clearly not though as Principle 4 says: "Personal data shall be accurate and, where necessary, kept up to date."

    Not sure how they are going to square that particular circle!
