    Changing Meeting Nights

    Our Beaver colony will be (for various reasons) changing its meeting night later in the year.

    All of the current volunteers can make the proposed new night so there's no issues there, I just wondered if anyone had any tips for a smooth transition? i.e. how much notice to give parents, do it after a school holiday or just a random week in between etc?

    I've spoken to neighbouring groups who have said they would be happy and able to accommodate any members which couldn't make it on the new night.

    Just set a date then after letters setting it all out for parents including swapping groups if new day does suit, couple of weeks notice and lots of reminders. If possible have a leader at your meeting place on the old night for a couple of weeks just in case someone forgets or didn’t get the messages.

    We've not changed nights for atleast 20 years, I suspect it's never (the hall we meet at is very well used).

    I would suggest giving plenty of notice and reminders, make everything clear and present to them all the options to that they can make a decision - do they stay with your colony and move meeting nights, or do they transfer to another neighbouring colony.

    Also it might be an idea to have a few meetings with parents to so that you can explain about it and answer questions, and if you can invite any leaders from neighbouring colonies down to talk to those that can't make the new night then I think that'd be helpful.

    When we opened our second troop we split the existing troop in half over two nights to have an engineered spread or responsibility, skill, age and split some groups up. Also meant we didn't have a whole troop of waiting list newbies.

    This meant a change of meeting night for some and we gave about 6 weeks notice they'd be moving as of the start of next term. Just an email out explaining what we were up to and why. No real issues or complaints. Worked reasonably smoothly, only loosing one of 36 as a result.

    Expect your numbers to fluctuate as some will not be able to make the new night, but with the short age range for beavers, you’ll bounce back quite quickly.
    When we moved Scouts, we had a few who couldn’t make the new night, who left the movement, I think we gave a terms notice and started after a break.

    Give as much notice as you can - I'd suggest at least half a term. Then keep reminding them.

    I would say the more notice you can give parents the better as it will allow them time to rearrange their schedules if needed

    When I last changed a section night we did it over the summer holidays, finished the old section night at the end of July and started back on the new night in September, this we found had the minimum disruption to other activities that the members might be doing as many of those change at the same time

    The best time to change would be when you restart after the summer holidays. That way you have you a lot of time for the parents to make a decision.

    Thanks for the replies - we were considering changing after the summer holidays so some of the responses along similar lines have helped cement that decision!

    Worth putting the word out for new recruits (YP and adults) who might be interested in your new night.
    If it was easy, it wouldn't be so much fun...
    GSL 1st Aylburton & Lydney, TA, ESL(YL), District Campsite Warden & webmanager .....only 1 hour a week, they said (not pointing out that was what was left)
